Understanding Subjects in Case Requests

Subjects describe who or what the requested work concerns. They are distinct from the client requesting or paying for the work.

Collect subjects through the form

Case request forms can include a primary subject, additional subjects, and subject photos. The intake workflow supports subject types such as Person, Business, Vehicle, Location, and Item, with relevant fields for each type. The form configuration determines what the requestor is asked to supply.

A practical distinction

A company may be the client, its representative may be the contact, and a vehicle may be the subject. These are separate roles. Putting the representative's name into the subject section simply because they submitted the request can create an inaccurate case.

Review before accepting

  1. Open the request's Subjects tab.
  2. Inspect each subject's type, name or description, identifiers, and available details.
  3. Check which subject is primary and whether the requested work clearly relates to it.
  4. Resolve missing or conflicting information before accepting.

After conversion

Acceptance transfers submitted subject information into the created case through the intake workflow. Requests containing subjects require Add Subjects permission as part of acceptance.
