Understanding Pay Rates, Billing Rates, and Finance Items

Finance items define the kinds of work and costs your organization records; rates determine the amounts.

Hours, quantities, and totals

Time entries use hours multiplied by the entry rate. Expense entries use quantity multiplied by the entry rate. Choose the configured item that describes the work or cost and check the units before saving.

Staff cost versus client billing

The rate used to pay a staff member or vendor is not necessarily the rate charged to the client. Staff custom rates and vendor rate sheets support pay setup; client account Billing Rates support client pricing. Do not assume an entry total will always equal its eventual invoice amount.

Where setup lives

  • Settings > Invoice & Expense Items: available finance items and their configuration.
  • Client account > Billing Rates: account-specific invoice rate setup.
  • Staff and vendor records: applicable pay rates or Vendor Rate Sheet.
  • Settings > Tax Rates: configured tax rates and components.

Missing items or rates

If an item is missing, an old entry lacks a valid mapping, or invoice generation reports an unavailable rate, ask an authorized administrator to correct the setup. Avoid choosing an unrelated item simply to proceed. Review existing entries and draft invoices after rate changes; do not assume changing a default retroactively rewrites saved records.

Access and availability

The controls you see depend on your permissions, access to the case, the case status, and the entry's review, invoice, and payment state. If an action is missing, ask your CaseWyze administrator to check these conditions.
