Understanding Investigator Applications and Hiring

The investigator application workflow connects public recruitment with your staff records in CaseWyze.


How it works

Public Job Application form → Applicant record → Staff review and hiring decision → Conversion → Staff onboarding.

The public form collects a candidate's contact information, experience, qualifications, and resume. A successful submission creates an Applicant record, where authorized team members can review the information, add internal notes, and track progress.

When your organization decides to hire the person, Convert Applicant lets an authorized user create or link a Staff / Employee record. A Vendor option supports the vendor or vendor-investigator route when that is appropriate.


A practical example

An investigator opens your recruitment link, applies for a field position, and uploads a resume. Your coordinator finds the submission under People > Applicants, reviews the documents, and records interview progress. After your team makes its hiring decision, an administrator previews the data transfer, checks for an existing staff record, and converts the application. The administrator then reviews the new staff profile and completes access, rates, and assignment setup.

What conversion does not mean

Submitting an application does not hire someone or give them access to cases. A new profile created by conversion starts without login access. Conversion records your team's decision in the system; it does not replace your hiring process or automatically complete onboarding.


Different from a case request

A Job Application form creates an applicant. A Case Request form collects proposed client work and can become a case. Both live in Settings > Public Forms, but they lead to different workflows.
