Understanding Entry Statuses and Financial Locks

Review, client billing, and staff payment are related but separate parts of an entry’s lifecycle.

Entry statuses

  • Awaiting Review: submitted and waiting for a decision.
  • Approved: accepted after review.
  • Declined: returned or rejected; eligible corrections can be resubmitted.
  • Committed: placed on a payment slip and awaiting completion of the staff payment process.
  • Paid: paid through the staff payment-slip workflow.
  • Voided: inactive for normal payment or billing processing.

Why an entry is locked

Approval, an invoice link, a payment-slip link, or payment can restrict ordinary editing and deletion. A group can be blocked by one ineligible row even when another row looks editable. Inspect the links and statuses before choosing a correction path.

Client billing is separate

Approved, Committed, or Paid work can be eligible for client invoicing when it is not already invoiced and the required item and billing-rate setup is valid. Paid staff work does not mean the client has paid an invoice. Likewise, a client invoice payment does not automatically settle staff payment slips.

Use the invoice balance for client amounts owed, and the payment-slip balance for staff amounts owed.

Access and availability

The controls you see depend on your permissions, access to the case, the case status, and the entry's review, invoice, and payment state. If an action is missing, ask your CaseWyze administrator to check these conditions.
