Understanding Case Requests and Public Forms

Public forms and case requests are two parts of the same intake process in CaseWyze. The form collects information; the request gives your team a place to review it before starting a case.


How the pieces fit together

Public form → Submitted case request → Staff review → Accepted case or declined request.

A public form is a reusable questionnaire reached through a link. A client or other requestor can complete it without signing in. It can collect contact details, the kind of work needed, instructions, subjects, and supporting files, depending on your configuration.

A case request is the individual intake record created by a submission. One form can receive many submissions, and each request is reviewed separately. The request preserves what was submitted and the review history.

A case is the operational record where your team manages accepted work. Submitting a form does not automatically create a case. An authorized staff member must match the client and use Accept & Create Case.


A practical example

A client follows your intake link and requests an investigation, names the subject, and attaches a reference document. CaseWyze creates a Pending request. Your intake coordinator checks the information, matches the correct client account, reviews the files, and accepts it. CaseWyze then creates the case and transfers the submitted information through the intake workflow. If the work is unsuitable, the coordinator declines the request instead.

What public access means

Public access lets someone submit the form. It does not give them access to your case list, create a client login, or create a user account. A receipt or request number confirms submission, not acceptance of the work.
