Understanding Budget Warnings, Soft Caps, and Hard Caps

Budget warnings help you review authorization before more work is performed. A cap determines how budget-checked actions respond to limits.

Soft cap

With Hard Cap off, the budget provides warnings rather than using the hard-cap block. A workflow may still require justification or other approval. A warning does not replace your organization's authorization requirements.

Hard cap

Hard Cap (Block work when exceeded) can prevent additional billable work or budget-checked approvals that would exceed the allowed hours or money. Review the specific message to identify the action and limit involved.

Warning displays

Status indicators change as utilization increases. The numeric percentage and Remaining amount are the most useful measures. At 100%, the allowance is fully used; a negative Remaining amount shows how far usage exceeds it.

When work is blocked

  1. Open the Budget tab and inspect both configured limits.
  2. Review the proposed work and existing consumption for mistakes.
  3. Obtain any required additional authorization.
  4. Have an authorized user adjust the budget if appropriate.
  5. Verify the saved amount before retrying the blocked action.

Do not assume changing an activity status, removing a service, or disabling the cap is an approved way to continue billable work.
