Understanding Activity Calendars and Fulfillment

Activity calendars group and color-code work. They can also define required fields and the records needed to fulfill an activity.

Choose an activity calendar

Select Calendar when creating or editing an activity. A calendar may allow tasks, events, or both, and may require task due dates or assigned users. Inactive or incompatible calendars may not be available.

Manage calendar rules

Authorized administrators manage calendars in Settings > Calendars. This requires Full Access and Manage Settings. Rules can require an expense entry, a case update, or both, and can enable automatic completion when those requirements are satisfied.

Review fulfillment

  1. Open Calendar.
  2. Switch to Activity Fulfillment.
  3. Review Tracked Activities, Pending Fulfillment, and Fulfilled.
  4. Inspect the activity’s expense and case update statuses to identify missing documentation.

Fulfillment checks the required linked records for the activity and assigned user. Make sure an update or expense is linked to the correct activity; an unrelated record elsewhere on the case may not satisfy the requirement.

Completion and billing are separate

A calendar can automatically mark an activity complete after its requirements are met. This does not replace review of time, expenses, approvals, or invoices. Likewise, manually completing an activity does not by itself establish that all required documentation exists.
