Setting Staff Roles, Permissions, and Access Levels

A role defines allowed actions, while access level helps determine which records the person can work with.

Access levels

  • Full Access: access across permitted organization records, still subject to role permissions and content restrictions.
  • Limited Access: access scoped to assigned, linked, or otherwise permitted records.
  • Disabled: no access to the organization.

Review a staff member's access

  1. Open the profile's Overview and inspect Role, Staff Type, and Access Level.
  2. Use Permissions to review the applicable grants.
  3. Have an authorized administrator use Edit Profile for the required role or access change.
  4. Check case assignments and content access groups if the person still cannot see particular work.

Shared role changes

Settings > Roles & Permissions manages role definitions. Changing a role's permissions affects people assigned to that role, not just the profile you were viewing. Role eligibility also influences who can be selected as a Case Manager, staff manager, or investigator.

Full Access does not bypass permissions or access groups. Assignment to a case does not automatically reveal internal updates, files, or financial information. Resolve the specific missing permission or relationship rather than granting broad administrative access.
