Reviewing, Approving, and Declining Entries

Review time and expenses from a case, the Expenses list, or the Billing Review Queue.

Review the submission

  1. Filter for Awaiting Review.
  2. Check the case, staff, work date, item, activity or update, notes, hours or quantity, and rate.
  3. Inspect receipts and check for duplicate entries.
  4. Check the case budget and whether the work fits the authorized scope.

Approve or decline

Use Approve for eligible work that is accurate and accepted. Use Decline when correction or rejection is needed, and enter the required reason so the submitter knows what to address. The decline flow indicates that the submitter is notified.

The Approve Expenses permission governs review actions for time as well as expense entries. For grouped or bulk actions, inspect which rows will be affected and the eligible selection count.

If approval fails

Check permissions, current entry state, financial links, and budget restrictions. A hard budget cap can block approval. An authorized manager should address the budget or entry itself; approval should not be bypassed with duplicate entries.

What happens next

Approval makes eligible work available for subsequent billing and staff-payment workflows. It does not send a client invoice or transfer funds to staff.

Access and availability

The controls you see depend on your permissions, access to the case, the case status, and the entry's review, invoice, and payment state. If an action is missing, ask your CaseWyze administrator to check these conditions.
