Recording Client Invoice Payments

Use Record Payment on the client invoice. This tracks client money received, separately from staff payment slips.

Record a payment

  1. Open the invoice from Invoices or the case's invoice history.
  2. Confirm the client, invoice number, remaining balance, and any existing payments.
  3. Choose Record Payment.
  4. If available, enter an amount under Apply from Retainer.
  5. Enter any separately received amount under Manual Payment.
  6. Review Total Payment and the resulting Remaining Balance, then choose Record Payment.

Amount limits

The payment must be positive in total and must not exceed the amount due. Retainer application cannot exceed the available retainer balance or the remaining invoice balance. Use the currency precision accepted by the form. Void invoices and invoices with no remaining balance cannot accept a new payment.

Verify the result

Check the updated invoice balance and payment history. Partial payment leaves an outstanding balance; full settlement clears it. If current balances cannot load, close and reopen the form before trying again.

You need Manage Invoice Payments permission. Recording a manual payment documents money received; it is not a bank transfer. Check existing payment history before retrying an uncertain submission to avoid recording it twice.

Access and availability

The controls you see depend on your permissions, access to the case, the case status, and the entry's review, invoice, and payment state. If an action is missing, ask your CaseWyze administrator to check these conditions.
