Managing Data Exports, Retention, and Legal Holds

Open Settings > Data & Compliance. This area requires Full Access plus the applicable Manage Settings or Delete Company Data permission.

This area provides workspace privacy and data-lifecycle controls. Viewing the section and performing each action can have different permission requirements.

Data Exports

  1. Select Request Export.
  2. Choose Full Export, Cases Only, or Attachments Only.
  3. Submit the request and monitor its status.
  4. When complete, use the available CSV or XLSX download controls.

Organization exports use the supported import-template format and are available for seven days after completion. Check the contents against the intended scope; a template-format export should not be assumed to contain every stored file binary or to be a complete system backup. Request a new export if the previous one expires.

Retention Policies

Privacy Request Mode enables enhanced privacy-request and retention controls. Default Retention Period (Days) records the organization's retention period; the form accepts 30–3650 days. Review the displayed consequences, then select Save Retention Settings. Retention settings can affect data deletion, so use the period approved for the organization's records.

Enable Legal Hold Status and provide the required reason when preservation is needed. The page records the hold reason and status. An active hold blocks organization deletion and subject erasure. Remove it only through the organization's approved process.

These controls support administration; enabling a switch does not by itself establish legal compliance. Verify actual export or request status rather than treating submission as completion.
