Finding, Copying, and Previewing Template Variables

A template variable is a supported placeholder, such as {{Case.case_number}}, that resolves to case data during generation.

Use the variable reference

  1. Open Settings > Templates.
  2. Select View Variables.
  3. Search by a field or section, such as due date, investigator, or address.
  4. Read the field's label, description, output type, and any permission information shown.
  5. Click the variable to copy it and paste it into your Word template.
  6. Optionally select a recent case to preview its values.

Copy exact placeholders

Keep the braces, spelling, punctuation, and capitalization intact. Do not invent a placeholder based on a screen label. For example, the long due-date field is {{Case.due_on_long}}.

Choose the right output

A text field, formatted list, table collection, URL, and embedded image produce different results. Select the format that fits the section you are building.

Blank preview values

Previews respect your permissions. A blank value may mean the case has no source data or you cannot access it. It does not always mean the placeholder is invalid.

Legacy fields

Review legacy-variable notices and use current equivalents when updating templates. Run another test after changing placeholders.
