Finding Case Requests and Understanding Their Statuses

Open Case Requests to see incoming intake records and follow their progress.

Find the right request

  1. Search by subject, client, or request number.
  2. Use the status filter to focus on the stage you need.
  3. Check sorting and additional pages if the record is not visible.
  4. Open a request to inspect its full details and history.

What the statuses mean

  • Pending: submitted and not yet moved into review.
  • Under Review: a staff member has started reviewing it.
  • Approved: accepted and converted into a case.
  • Declined: declined without creating a case.

Start a review

Authorized reviewers can use Start Review on an eligible Pending request. This signals that review has begun and records the transition. It does not create a case or mean the work has been accepted.

Use the request number

The request number identifies intake, while the resulting case has its own case record and numbering. When someone follows up on a submission, search the request number first rather than assuming it is a case number.

If an expected request is absent, clear filters, confirm the workspace, and check request access. A form's success page and request number are stronger evidence of submission than an incomplete form left open in a browser.
