Deactivating, Reactivating, and Deleting Staff

Use deactivation when a person should stop accessing the organization while their staff history remains available.

Deactivate a staff member

  1. Review the person's open case and activity responsibilities and arrange any needed reassignment.
  2. Open the staff profile and choose Deactivate when authorized.
  3. Confirm the resulting inactive status and Disabled access.
  4. Review outstanding work and financial records separately; deactivation is not a substitute for resolving them.

The deactivation action sets the profile inactive and disables the linked user's organization access. It preserves the profile for history and assignments.

Reactivate deliberately

Use Activate when appropriate and permitted. The action can restore Limited Access when the previous access value is Disabled. Recheck the resulting access level, role, and assignments; do not assume Activate merely changes a label or restores every prior permission.

Delete only for intended removal

Delete Staff Profile is permanent and is more restricted than editing or deactivation. The current profile interface limits deletion to an authorized owner managing another person's profile. Read the confirmation and any dependency restrictions. Deactivation is the appropriate way to preserve a former worker's record when past work must remain attributable.
