Creating Invoices from Reviewed Work

Open a case’s Finances > Billing to prepare client billing from eligible time and expense entries.

Check billing readiness

You need Create Invoices permission. Eligible work must be reviewed, not already invoiced, and have valid finance-item mapping and billing rates. Approved, Committed, and Paid entries can qualify: staff payment state does not replace client billing.

Create the invoice

  1. Review Entries Awaiting Review and have pending work reviewed first.
  2. Inspect Time & Expenses Ready for Billing.
  3. Select the eligible work using the available invoice-creation controls.
  4. Review the client, case, line descriptions, quantities, client rates, taxes, and totals in the invoice workflow.
  5. Create the invoice and inspect it in the case's Invoice History or workspace Invoices list.

If a line cannot be invoiced

Check whether it is awaiting review, already linked to another invoice, missing a finance item, or missing a valid client billing rate. Older records may require an administrator to repair item mappings. Do not submit duplicate work to avoid the error.

Before delivery

Review the finished invoice before sending it. Creating an invoice does not itself mean it was emailed or paid, and invoice-linked source entries are restricted from ordinary editing.

Access and availability

The controls you see depend on your permissions, access to the case, the case status, and the entry's review, invoice, and payment state. If an action is missing, ask your CaseWyze administrator to check these conditions.
