Creating and Managing Subject Types

Open Settings > Subject Types. This area requires Full Access and Manage Settings.

Subject types distinguish the kinds of subjects your organization records within categories such as people, vehicles, locations, items, and businesses.

Create or edit a type

  1. Choose the appropriate subject category.
  2. Add a type or open an existing type.
  3. Enter its Name and required Code.
  4. Add an optional Description, choose a Color, and set Active.
  5. Configure its Fields tab as needed, then save.

The Name is the recognizable label, such as Claimant or Witness. The Code identifies the configuration; use a consistent descriptive value. The description helps staff choose the correct type.

Fields and cloning

The Fields tab controls custom subject-field definitions and their placement. Clone Subject Type helps start another type from an existing configuration. Review the copied settings and any shared field definitions before saving.

Availability

A case type can restrict which subject types are offered and can specify a default. If a subject type is missing from a case, check both its Active state and the case type's Allowed Subject Types.

Retiring a subject type

Subject types cannot be deleted. Deactivate a type to hide it from new subjects while preserving existing data. This setting does not delete the subjects already recorded on cases.
