Creating an AI-Assisted Summary of Updates

AI is completely optional. You can create, edit, organize, attach files to, and review case updates without using AI.

Use your own API key

To use AI-assisted summaries, your organization must connect its own OpenAI API key in Settings > AI. An authorized owner or administrator manages this account-scoped connection. Never include an API key in an update, attachment, or support message.

Your data and your provider account

Your case data remains your organization’s data. Using your own API key connects AI processing to your organization’s provider account. When you request a summary, the content submitted for processing is sent to OpenAI. Provider terms and your account’s data-handling settings govern that processing; using your own key does not mean the content stays entirely inside CaseWyze or guarantee zero retention.

Generate and review a summary

  1. Open the case Updates list.
  2. Select the visible updates you want summarized.
  3. Select Generate Summary, when available.
  4. Read the draft and compare its statements with the source updates.
  5. Correct names, dates, sequence, omissions, or unsupported conclusions, and edit the title if needed.
  6. Review the intended audience and save the result as a new update only when accurate.

What is saved

The saved summary is a new update with AI-assisted attribution and source update references. It does not replace the original entries.

Check visibility

AI summaries use your role’s default visibility access group when saved. Confirm that the summarized information is appropriate for that audience. If no usable default group is configured, an administrator must correct the setup before saving.

If AI is unavailable

Ask your administrator to check the API connection and provider account. You can continue writing and managing updates manually while AI is unavailable.
