Converting an Applicant into a Vendor Investigator

Use the Vendor route when your organization has decided the applicant belongs in its vendor workforce rather than as an internal employee.

Understand the records

A Vendor is a business or company. A Vendor Investigator is an individual linked to a vendor company. Both are managed through People > Staff. Choose the route that reflects your organization's actual arrangement; the software selection itself does not determine employment classification.

Use the conversion workflow

  1. Open the applicant and choose Convert Applicant.
  2. Select Vendor.
  3. Review the Data transfer preview and duplicate matches.
  4. For a new person record, choose the appropriate Role / Classification.
  5. Select an existing Vendor Company, or choose Create new vendor company and review the New Vendor Name.
  6. Alternatively, link an eligible existing record when it is the correct match.
  7. Select Convert and verify the resulting vendor and investigator associations.

After conversion

The applicant shows Converted to Vendor. Depending on the chosen create-or-link path, the workflow opens the relevant investigator profile or vendor company. Check the individual's company association, source application information, documents, and pay setup.

Newly created investigator profiles require separate access and onboarding setup. Do not assume a vendor company alone is a person who can sign in or be assigned as an investigator.
