Configuring Subject Fields and Shared Field Definitions

Open Settings > Subject Types. This area requires Full Access and Manage Settings.

Open a subject type's Fields tab to control the information collected for that type.

Add a field

Use Create Field for a new definition, or Add Existing Field to reuse a field from the workspace library. Arrange fields with the ordering controls and set the placement's available display or required options.

Field definition settings

  • Label: the field name shown to staff.
  • Help text: instructions for entering the value.
  • Field type: the kind of input; a field with saved values cannot change type.
  • Choices: one option per line for select, radio, and multi-select fields. Removed choices remain readable on existing subjects.
  • Visibility: everyone with subject access, or a specific access group.
  • Require sensitive-identifier permission: adds the associated permission requirement.
  • Archive this field across all subject types: retires the shared definition, not just one placement.

Shared definitions matter

Read Used by before saving. Editing a shared definition updates all listed subject types. Removing its placement from one type differs from archiving the definition across every type.

Save and check

Save the field editor and the subject type configuration. Verify the resulting subject form with the intended role. If access groups or fields fail to load, resolve that error before saving; Reload settings (discard draft) discards unsaved work.
