Configuring Invoice and Expense Items

Open Settings > Invoice & Expense Items. This area requires Full Access and Manage Rates.

Finance items define reusable line-item choices and default rates. Filter the list by All, Expense Only, Invoice Only, or Both.

Item fields

  • Name: the required item label.
  • Description: the default description used on invoices.
  • Use as Expense Item: makes the item available for staff reimbursement tracking.
  • Use as Invoice Item: makes it available for client billing. An item may support both uses.
  • Rate Type: Hourly, Fixed, or Variable, describing how it is typically charged.
  • Default Expense Rate: the expense-side starting rate.
  • Default Invoice Rate: the client-billing starting rate.
  • Charge tax on this invoice item: enables tax treatment for the invoice item.
  • Default Invoice Tax Rate: selects a configured rate or Tax Exempt / No default.

Configure and verify

  1. Create or edit an item.
  2. Choose at least the intended expense or invoice use and complete its applicable rate settings.
  3. Save, then review an example expense and invoice line using the item.
  4. Check client-specific and staff-specific rate overrides where applicable.

Expense cost and invoice price are distinct. Changing a catalog default is not a bulk correction of existing approved entries or invoices. Review saved record amounts in their own workflow.
