Completing Staff Onboarding After Hiring

Conversion gives you a staff record with application context. Onboarding prepares that person for the work and access they need.

Review the profile

  1. Open the converted record under People > Staff.
  2. Verify first and last name, primary email, phone, address, staff type, and role.
  3. Review the manager, preferred territories, preferred services, tags, and other relevant profile details.
  4. Check the source application and linked documents. Complete structured license details where needed.
  5. Review the applicable Price List or pay-rate setup before the person submits time or expenses.

Status and login access are separate

A newly created converted profile is active but starts without login access. Active means the operational profile is active; it does not prove the person can sign in. Authorized administrators must review the access level, role permissions, and available user-setup or invitation controls separately.

Prepare access and assignments

Choose the access appropriate for the person's duties, complete the supported invitation process, and confirm any required authentication setup. Then make the appropriate case or activity assignments. Limited Access users depend on assignments and visibility rules, so an accepted invitation alone does not mean they can see every case.

Verify readiness

Confirm that the investigator can access the intended work and has the permissions needed for their tasks, updates, time, and expenses. Keep the original application as the hiring source record instead of deleting it merely because the person now appears in Staff.
