Assigning Activities and Changing Their Status

Assignment identifies who is responsible for an activity. Status shows its progress.

Assign or reassign work

  1. Create an activity or open an existing one for editing.
  2. Choose a user in Assigned To.
  3. Review the schedule and instructions, then save.

If a user is missing, ask an administrator to check their active workspace access, role, and eligibility for activity assignments. Some calendars require an assignee before saving.

Understand statuses

Tasks commonly use To Do, In Progress, Blocked, Completed, and Cancelled. Events use Scheduled instead of To Do. Available filters and bulk actions may show fewer choices than the edit form.

Complete or reopen an activity

Open the activity detail page and select Complete when the work is done. Use Reopen if more work is required. Case activity lists may also provide completion checkboxes.

Changing status requires Modify Activity Status, which is separate from permission to add or edit activities. Reopening normally returns a task to To Do or an event to Scheduled.

Notifications and follow-up

A newly created assigned activity can notify the assignee, subject to notification preferences. Do not assume every reassignment or edit produces the same notification. Completion does not itself confirm that time, expenses, updates, or invoices are complete.
